Significant Updates

The latest schedule updates come with amazing new features that may be different than what you are used to. Some of the notable changes include:

  • Context Menus are opened using a Left Click
  • Editing options are available on all views, with the most tools on the Day View
  • Gears in the top right corner will open the settings allowing you to customize the schedule to your needs.
  • To create an event click on the Base/Station or the Unit from the list,
  • Click on any event to edit that event.
  • When you delete an Event you now have the option to notify the user
  • Redesigned for mobile

Drag and Drop Features

We have improved the ability to edit events through drag and drop functions. To add someone to an Open Shift, simply find their name in the Users Menu and drag and drop over the Open Shift or Unit. Want to move someone to a different station, just drag and drop them at the desired location. If you want to delete an event either open the Context Menu through a left click on the event or simply drag the event to the User’s Menu. This feature has also been optimized for mobile view.

Context Menus

Context Menus are open by left-clicking on any event. This menu is the most robust of all of the menus because it allows to access almost all of the Scheduler’s functions. You are able to edit events, set flags, and communicate with the user.

  • Edit Event – A popup appears to allow you to edit all aspects of the event.
  • Times – Quick Change the event time
    • First Half – Change the Event to only the first half of the Normal Unit Time
    • Second Half – Change the Event to only the second half of the Normal Unit Time
    • Normal Unit Times – Change the Event to the Normal Unit Time
  • Tools – Manage Events
    • Duplicate – Create an exact copy of an event
    • Split Shift – Split a shift into two parts with a default option of splitting it in half
    • Add Comment – Add a comment to the Event
    • To Open Position – Make this Event an Open Shift
    • To Open & Notify User- Make this Event an Open Shift and notify the User originally scheduled for this Event
  • Flags – Set flags such as “Overtime”
  • Delete Event – Remove the Event in its entirety with the option to notify the user
  • Move User to Leave – The User is now in the Time Off Requests
  • Send Event Infomation – Notify the User scheduled for this Event with Event Details
  • Send Custom Message – Send a custom message to the User scheduled for that Event
  • User Options
    • User’s Profile – Open the User’s profile that is scheduled for that Event
    • User’s Schedule – Automatically change the Filter to view the User’s Schedule that is currently scheduled for this event.

Settings Menu

The Settings Menu can be accessed by clicking on the gear in the top right-hand corner. This menu allows you to customize the Schedulers to your needs. This menu allows you to:

  • Group Units Together (For example, EMS1-1 and EMS 1-2 would show up as EMS1 but still function as two different positions)
  • You can chose to highlight non-standard times with red text
  • You can hide empty units

Each of these options are sorted by view.

Station/Base Menu

The Station/Base menu is accessible by clicking on the hamburger menu (three horizontal lines) in the top right-hand corner of the station or the base. This will allow you to add a new Open Shift for the Unit/Position as well as an option to notify those scheduled for that shift.

Users Menu

The Users Menu is on the right side of the Scheduler. It presents three important selections to view.

  • The Users List
  • Time Off Requests
  • User Availability

Users List

The Users List shows all of the Users belonging to a particular Cost Center. You can drag and drop users from this list to schedule them for their shifts.

By clicking on “All Staff”, you can toggle the Users List View between “All Staff”, “Part-Time/Volunteer”, and “Full Time”. We have also added a search bar where you can search for a particular user or skill level.

Time Off Requests

Here, you will be able to see the Time Off Requests for the day. You have the option to Approve and Reject Time Off Requests, Edit the Request, View the User, and Send the User a Custom Message.

Availability

This menu allows you to view your User’s availability. By clicking on them, you will be able to immediately assign them to Open Shifts, Edit their Availability, View their Profile and Schedule, and send them a Customer Message. You can also drag and drop to schedule them.

The Availability Menu is able to be sorted by various criteria. Those criteria include:

  • Utilization Percentage (default) – Percentage of shifts awarded when compared to the number of shifts signed up for. This comparison is to ensure that each user is utilized equally based on availability.
  • Hours Worked This Week
  • Hours Worked This Pay Period
  • Hours Worked This Month
  • Hours Worked This Year
  • Events Submitted (Availability)
  • Event Scheduled
  • Date Entered – First Come First Serve

Users with Note-Only Editing

Users with the Note Editing permission are able to edit notes directly from the schedule by clicking on the Note Event.

Filters

Filters allow you to change what you see on the Scheduler based on different criteria. These criteria include:

  • My Schedule (Your Schedule)
  • All Event (Everything)
  • Custom Views
  • My Staff
  • By Cost Center
  • By Base
  • By Shift
  • By Skill Level
  • By Unit/Vehicle
  • By User
  • By User Role
  • Open Shifts
  • Open Shifts and Available
  • Leave Events
  • Classes

Date Skip

This allows you to navigate to the desired date. You can use the arrows to manually navigate through days. The single arrow on the left will step you one day in the past and to one on the right will step you one day into the future. The double arrows on either side have the same function but they step you two days instead of one. By clicking on the mini calendar or on the date, a mini-calendar will appear so you can manually change the date or type it out in the box. The Scheduler will jump to that date. By pressing the “Today” button, the Scheduler will jump back to today’s date.

Week View

The Week View has similar editing capabilities as the Day View but the view spans the whole week. There are two view options in the Week View, “Unit View” and “User View”.

The Unit View displays each Unit’s schedule. This will allow you to see if that Unit is staffed for the week quickly.

The User View displays the week organized by User. This allows you to ensure that Users are scheduled for the week and their hours are correct. Profile pictures will be used here to give a more personal environment.

Today will be highlighted in a translucent green.

Month View

The Month View gives you an overview of the entire month. It will have similar editing features as the Day and the Week Views. Instead of Shift Letters, we have opted to use colored borders to give a cleaner look.

Today will be highlighted in teal.
