Configure the Core Scheduling options including Pay Periods, Shift Letters, Default Shift Times, and more.
Maximum Hours Users Can Be Assigned [Per Week/Pay Period/Month/Year to Date]
Define the maximum amount of hours that users are able to be scheduled to reduce overtime costs.
Update the rules below for each user type (FT/PT/Volunteer) and the maximum hours each can work before creating a Warning or an Error. If the user is scheduled more than this number a warning or error will be shown. Warnings will allow the schedule editor to continue if the hours are exceeded while an Error will prevent the schedule editor from completing the change. iOps360 will check for these hours when making any schedule change, utilizing an available staff member, and approving an Open Shift Request. The Availability Auto Staff uses custom rules available in the “Availability” config Note: Only Users with “SysOp” access can override an error condition.
Warning | If the user is scheduled for more than this number of hours, a Warning will be shown. Any admin can continue with the schedule change and allow the change to be saved |
Error | If the user is scheduled for more than this number of hours, an Error will be shown. Only users with ‘SysOp’ access can proceed. Any other users (Supervisors / Schedule Editors) will have to choose another user or reduce the hours worked to save the schedule change |
Week | If using ‘Normal’ pay periods, the week calculations will begin on the day of the week as the pay period begins. Non-Normal pay periods will begin calculations with the setting ‘Week Begins On’. See System Config -> Scheduling Tab -> Scheduler Setup |
Move/Assign Staff [For ACB(D) Shift – 24/48/72 Units Only]
Use the Drag and Drop editor for Units with ABC/D shifts. This feature is only compatible with 24/48, 24/72, or 48/72 based units. You can also change user’s assignments in the User Profile page for each user or the Shift Templates (if used by your system).
Quickly assign Users to a shift & vehicle by Dragging the User from the right column onto The Unit & Shift. These Changes Will Take Effect When The Next Month’s Calendar Is Built.
If you use Automatic Unit Rotations, Users will rotate on the Calendar Creation page when the next calendar is created.
Open Shift Request Notifications [Notifications When User Requests A Shift]
When a user requests an Open Shift, you can determine who will receive that notification. You can specify the Cost Center, Shift, and even the Specific User to notify.
Recurring Calendar Events [Inventory Checks/Drug Checks]
Create and edit Recurring Events on the schedule, for example, a recurring event for Inventory Checks is due on the 1st of every month.
Shift Change Request Notifications [Notifications for a Late Call]
If your agency is not using the Clock In/Out system, users can requests a change to their hours worked (i.e. Late Call) and you can determine who will receive that notification where you can specify the Cost Center, Shift, and even the Specific User to notify.
Schedule Views/Divisions
Create Custom Views to show only specific units for Quick Editing on the Edit Today’s Schedule page and also on the Main Calendar pages.
Shift Pattern Start Date Aliases [Pattern Starting 1/1/2021= “A” Shift]
If your Units use the Schedule Method ‘Rotational Pattern’, you can create Aliases to the Anchor/Start dates to facilitate assigning users to a pattern anchor/start date.
Unit/Vehicles that are staffed “On A Pattern” use the “Shift Pattern Start Date” in the User’s profile to start the sequence. Aliases allow you to reference these dates back to your A, B, C, and D shifts (i.e. Pattern Starting 1/1/2021= “A” Shift).
Unit/Vehicle Setup [Edit Units and Hours of Operations]
Create and edit the Units/Vehicles in the scheduler, staffing methods, hours of operations, and organize units into Bases/Stations. This is an important step as this will serve as the foundation for organizing your vehicles and setting up vehicle check-offs.
Units/Vehicle Staffing Requirements [Ladder 1 Requires Officer]
Create and edit Staffing Requirements for each Unit. For example, you can specify what licenses or certifications each vehicle must-have. This will help ensure that each vehicle is equipped with the necessary personnel.
Units/Vehicle Ordering [Set Sort Order of the Units]
Set the ordering of the Units/Vehicles through out the scheduler. You can use the drag and drop list to set the ordering of the vehicles to suit your agency’s needs.
