iOps360 has a new Time Off approval status of “Pending Coverage“. Pending Coverage will automatically create an Open Position on the schedule for users to sign up for. Once a user is assigned to the shift by the iOps360 App, Shift Bid, Open Shift Request, or assigned by an Administrator, iOps360 will then complete the leave request to “Approved” and notify the user.
Use Cases For Pending Coverage
There may be times that you want to approve a Time Off Request, but are un-sure if you will have adequate coverage to fill the void. By setting the Time Off Request from “Pending” to “Pending Coverage” you can allow the staff to assist with coverage. iOps360 will create an Open Position that is linked to the leave request. Once the open position is filled, the leave request will be automatically approved.
Requirements For Pending Coverage
Since iOps360 will create an open position for Pending Coverage, the schedule must be created to select this option. The schedule can be unpublished, however this will impact the users’ ability to view the open position. If the leave request is beyond when your schedule has been created, then this option will not be available. Since iOps360 will complete the leave request when coverage is obtain, the user must also be working on the day of the leave. If a user is not on the schedule when the leave is changed to “Pending Coverage”, the leave will revert to a status of “Pending”.
- User is working on the date of the Leave
- Calendar created through the Leave Request date
- Recommended Calendar is Published through the Leave Request date
Removing an Open Shift linked to Pending Coverage
iOps360 will automatically create an Open Position when a time off request is set to “Pending Coverage”. If this open shift is deleted or removed by an admin edit or mass modify, the Leave Request will reset to “Pending”. You can then set the Leave to back to “Pending Coverage” to re-create the open position if needed.
Schedule Rollback
If a schedule contains a leave request in “Pending Coverage” status when a schedule rollback occurs, iOps360 will save the Leave Request and Open Shift information. However, the user assigned to cover the leave request will be removed (as with all scheduled staff). When the schedule is recreated, iOps360 will re-create the open position and allow for user pickup. If the leave request has been filled, the leave request will advance and create an open position as with normal leave requests.
