iOps360 Welcome Kit

On behalf of iOps360, we wanted to say Thank You for allowing us to serve your agency. We use the work serve very intentionally.

As we complete the on-boarding, we know each agency operates a little differently and not all the items below will apply. Feel free to include any notes that will ensure we customize iOps360 to exceed your expectations.

The following items will help us get you up and running quickly. Provide any information in Excel, Word, CSV, or any database format.

Core Items

  • Staff Roster – Be sure to include as much information as possible. Important items like Legal first and last name, badge/radio numbers, employee Ids, hire dates, email addresses and phone numbers. Other great information is the user’s status (PT/Vol/FT/Salaried) and their skill level/role (EMT, FF, FTO, etc).

Scheduling Core Items

  • Current Assignments (By Units / Shift) – We can build your schedule based on the Unit/positions you provide and the shift letters for each staff member. Ie EMS 1 is 24/28, starting at 08:00 and John is on “A” Shift. Be sure to include what shift letter today is. If your shift letters do not follow A-B-C or A-B-C-D, be sure to let us know that also.
  • – OR – Current Assignments (By Schedule) – If it is easier, we can also build your schedule with our A.I. tools. Provide us with 2 months worth of your current schedule and iOps360 will figure out your positions and who is assigned to which shift / pattern.
  • Staff Leave Hours & Accrual Methods – Provide a list of how crew members accrue leave hours (Monthly / Pay Period / Annually / Hire Date anniversary) and the automatic steps up (1-3 years of service = 3.69 Hours per pay period). Also include the current balance for each user.
  • HR Back End – We have many integrations with HR platforms to pull leave hours from one system into ours and vice versa. Let us know what your payroll / hr systems to see if we already have an integration.

Education Core

  • User Roles and Requirements – Each user can have one or more user roles such as Fire Fighter, EMT, Crew Chief, etc. The User Role also determines the requirements that each person must have including Licenses, Classes, and Skills. Include the requirements for each user role and the users assigned.
  • License, Classes and Skills – Include a list of the current credentials for each staff member and we will migrate this information into iOps.

Operations Core

  • Vehicle Check Sheets – Provide each vehicle check off that you use. Many agencies have a daily vehicle check off and a more complex check off for 1st of the month or drug date checks. Be sure to include both.
  • Equipment (aka Assets)- The iOps360 Equipment module can track any assets including items assigned to staff. This could be monitors, radios, uniforms, helmets, key cards etc. Each equipment type can also have custom fields such as model number, serial number, date placed in service etc. Provide as much information as possible to prevent data entry later on.
  • Inventory (aka medical supplies) – We can create your inventory from your current software or purchase reports from any vendor. Information such as the item name, part number, cost, expiration date can all be imported.
  • Active 911 – If your agency uses active 911, we can quickly integrate with the information here
  • Forms – The forms module allows you to quickly gather information from staff such as Uniform Requests, ROII forms, preceptor eval forms, etc.
  • Hydrants – We can import your Hydrants from Active911 and also FireHouse software. If migrating from FireHouse, please include the report Hydrant Master Data and Hydrant History reports.

Other Platforms

We have a variety of tools to automatically import your information from other platforms such as Aladtec ®, Boundtree ®, EMS Manager ®, ePro ®, FireHouse ®, McKession ®, Telestaff ®, Vairkko ®, WhenIWork ® and WhenToWork ®.
